Privacy Policy

This policy explains what personal information the Hostel Admission Portal (the "Portal") collects, why, how it is used and protected, and the choices available to you. It should be read with our Terms & Conditions.
1. Who processes your data
Your information is collected and processed by the hostel/hall administration of the University of Delhi for the purpose of hostel admission. Queries: duhaquery@dsw.du.ac.in.
2. Information we collect
- Account details: email address and mobile number used to register and to send one-time sign-in codes.
- Application details: your name, gender, date of birth, blood group, category and special-category status, nationality, permanent address, parent/guardian details, academic and admission records, programme details, hostel preferences and other information you enter on the form.
- Uploaded documents: your photograph and supporting documents such as mark-sheets, category and residence proofs, matriculation certificate and signed declarations.
- Payment information: the fee amount, a payment reference and the success/failure status returned by the payment gateway. Card and bank account numbers are handled by the gateway and are not received or stored by the Portal.
- Technical & security data: limited log data such as the time of an action, the page involved and the IP address, kept to operate the service securely and to detect misuse.
3. Why we use it
- To create and secure your account and sign you in via one-time codes.
- To process, evaluate and administer your hostel application and communicate decisions, requests for missing documents, and notices.
- To take and reconcile the registration-fee payment.
- To maintain the security and integrity of the Portal, prevent fraud and misuse, and keep an access record for sensitive actions.
- To meet the University's administrative, record-keeping and legal obligations.
We do not sell your personal information or use it for advertising.
4. Emails we send
We send transactional emails only: an email-verification link, one-time sign-in codes, an application-confirmation message, and notes an administrator sends about your application. These are necessary to use the Portal and are not marketing.
5. Who can see your information
- You can view and, until the cut-off, edit your own application and documents.
- Authorised hostel/University administrators can view applications and documents to process admissions.
- The payment gateway (ICICI Bank EazyPay) processes the fee under its own privacy terms.
- We may disclose information where required by law or by the University's competent authorities.
Your uploaded documents are stored in a private location and are served only through an authenticated, access-controlled route. A student can access only their own documents; there is no facility for one applicant to view or download another applicant's files.
6. How we protect your data
- Encrypted connections (HTTPS) and secure, HTTP-only session cookies.
- One-time-code sign-in; administrator passwords stored only as salted hashes (BCrypt).
- Uploaded files stored outside the public web folder, with validation of type and size, and access limited to the owner and administrators.
- Rate limiting, security headers and access logging to deter and detect abuse.
No system can be guaranteed perfectly secure, but we take reasonable measures appropriate to the sensitivity of the data.
7. How long we keep it
Application data and documents are retained for the admission cycle and for as long as the University's record-keeping rules require, after which they are deleted or archived in line with those rules. Security logs are kept for a limited period for audit and safety purposes.
8. Your choices & rights
- You can review and correct your application details until the cut-off by signing in.
- You may request access to, or correction of, your personal information by contacting the query address. Some requests (for example deletion) may be limited while an application is under process or where records must be retained under University or legal requirements.
- Because sign-in relies on your registered email, keep that account secure and up to date.
9. Children
The Portal is intended for University applicants. If a minor applies, it is expected to be with the knowledge of a parent or guardian, consistent with the application's declarations.
10. Changes to this policy
We may update this policy from time to time. The "last updated" date shows the latest version; material changes may also be notified on the Portal.
